Active Youth Sports Club (AYSC)

Terms & Conditions

By registering a child with Active Youth Sports Club (AYSC), parents/guardians agree to the following Terms & Conditions.

1. Monthly Membership & Payments

  • AYSC operates on a monthly membership basis.
  • Monthly fees are payable in advance to secure your child's place.
  • If you wish to cancel your child's membership, this can be done by cancelling your membership or notify AYSC staff. You must provide at least 7 days' notice before the next payment is due when notifying staff
  • If the membership is cancelled yourself, there is no prior notice needed.
  • Once a new monthly payment has been made, refunds will not normally be provided unless covered by the refund policy below.
  • A child's place may be offered to another participant if payments are not made on time.

2. Refunds & Sick Days

  • If your child is unable to attend a session due to illness, AYSC will provide a refund or credit for that session.
  • Sick-day refunds are limited to a maximum of 4 sessions per calendar year per child.
  • Parents/guardians should notify AYSC as soon as reasonably possible if their child is unable to attend due to illness.
  • Refunds will not be accepted if a child does not show up without an authorised absent permission given by staff admin
  • AYSC reserves the right to request reasonable confirmation where repeated sick-day refunds are requested.

3. Photography & Recording

  • Parents/guardians may take photographs or videos of their own child during sessions where permitted by AYSC.
  • You must not photograph, record, or share images/videos containing other children without the express permission of their parent/guardian.
  • Please ensure that other children are not identifiable in the background of photographs or videos you take.
  • AYSC may have its own photography/recording policy and will obtain appropriate consent before using a child's image for promotional purposes.

4. Behaviour & Respect

AYSC is committed to providing a safe, inclusive and welcoming environment for every child.

  • Children are expected to listen to coaches and follow reasonable instructions.
  • Children must treat coaches, other participants, parents/guardians and facilities with respect.
  • Bullying, discrimination, harassment, threatening behaviour, deliberate damage to property, or physical aggression will not be tolerated.
  • Coaches may remove a child from an activity if their behaviour creates a safety risk to themselves or others.
  • Parents/guardians are responsible for supporting AYSC in addressing persistent behavioural concerns.
  • Where serious or repeated behaviour issues occur, AYSC reserves the right to suspend or terminate a child's participation.

5. Parent/Guardian Responsibility

  • Parents/guardians must provide accurate and up-to-date registration and emergency contact information.
  • Parents/guardians must inform AYSC of any relevant medical, behavioural, accessibility or additional support needs that may affect participation.
  • Children should arrive ready for their session and appropriately dressed for sports activity.
  • Parents/guardians remain responsible for their child outside of the session and must collect them promptly at the end of their allocated session.

6. Safety & Participation

  • AYSC coaches will take reasonable steps to provide safe and appropriate activities.
  • Children are expected to follow safety instructions given by coaches.
  • AYSC reserves the right to modify, postpone or cancel a session where necessary due to weather, facility issues, safety concerns or other circumstances outside of its reasonable control.
  • Where AYSC cancels a session, an appropriate alternative arrangement, credit or refund may be offered where applicable.

7. Inclusive Environment

AYSC welcomes children of all abilities and aims to provide an inclusive and SEN-friendly environment.

  • Coaches will make reasonable adjustments to activities where appropriate to support participation.
  • Parents/guardians should communicate any relevant needs in advance so that coaches can prepare suitable support.
  • All children are expected to treat one another with kindness, patience and respect.

8. Changes to Terms & Conditions

AYSC reserves the right to update these Terms & Conditions when necessary. Parents/guardians will be informed of any significant changes that affect their membership or payments.

9. Agreement

By completing registration and/or making payment for AYSC sessions, the parent/guardian confirms that they have read, understood and agreed to these Terms & Conditions.
